STAFF LIAISON TO: Treasurer of Board of Directors, Members, Outside Product Service Partners
Oversees the associations accounting department (currently two employees), and all accounting functions. Maintains all financial reporting, utilizing QuickBooks accounting system. Prepares monthly financial statements and budget variance analysis. Pays all bills either through QuickBooks or online accounts. Oversees preparation of AAGD's annual budget. Assists outside auditors in preparation of annual audit by defining the scope and preparing account analysis and detail. Works through the PEO to input payroll, benefits reporting, tax filings and compliance testing.
Oversees Accounts Receivable through the database system.
Responsible for supervising all AAGD accounting personnel and association financial reports.
Responsible for performing all month-end procedures, including overseeing the processing of all month-end accounting, sales reports, general ledger, preparing journal entries to close the books in preparation of the monthly financials. Prepares all financial information for monthly board packets, including budget variance analysis and past due reports.
Responsible for processing all payroll, maintains personnel files. The CFO/Accounting Director is the Staff Liaison to Insperity (our PEO) for outside payroll processing. Administers employee benefits such as 401K and group insurance.
Responsible for preparing all other accounting reports as needed, such as monthly sales and use tax returns and local property tax information.
Responsible for maintaining all operating accounts. Reconciles bank statements. Maintains petty cash.
Responsible for all accounts payable, maintains vendor information. Processes 1099’s for IRS reporting.
Responsible for overseeing the processing of accounts receivables, credits and adjustments. Resolves credit and/or payment disputes with members. Authorizes credit overrides on past due members when appropriate. Oversees collection procedures.
Responsible for overseeing the processing of all billings from all departments.
Responsible for preparing the administrative budget. Also assists in budgeting and projecting/forecasting process with all other departments. Responsible for compiling all department budgets.
Responsible for overseeing office supplies and approves administrative supplies as needed. Obtains quotes on purchases of equipment, supplies, and/or services as needed. Oversees the annual bidding process for PEO. Oversight of the renewal process for copier and postage meter leases as they expire. General oversight and collaboration with association staff regarding AAGD contract(s) renewals and expirations.
Performs any other tasks as assigned by the Executive Director.
In addition to the specific job duties, the essential functions of this position also includes the ability to relate positively to fellow employees and association members and the ability to follow directions from a direct supervisor or other supervisory personnel. The Association work environment is, out of necessity, very active and demanding. Association employees are subject to a hectic pace and, on occasion, stressful environments. Employees will be expected to relate to these challenges in a professional and positive manner. Association employees also required to participate in Association functions that are scheduled after normal business hours from time to time.
Adheres to signed employee agreement for acceptable use of computer technology resources.
Monitor and reconcile corporate credit card accounts.
Prepare monthly financial statements and bank reconciliations for two small related entities, AAGD’s PAC and the AAGD Education Foundation (501C3)
